Community Association Management Services

•         Attend all board meetings and annual membership meeting.

•         Prepare agendas and meeting packets for all meetings.

•         Prepare minutes for all meetings within five business days of the meeting.

•         Prepare a monthly management to the Board.

•         Maintain association and membership records and files.

•         Corresponds with Board members and responds to association member inquiries.

•         Maintains the association website if applicable. Management Website available as Landing Page, meeting Florida Association requirements.

•         Manages homeowners' requests for repairs.

•         Follow up on repairs with homeowners in a timely fashion.

•         Prepares and maintains directors' notebooks with all relevant information to assist the Board to carry out its responsibilities.

•         Provide information and guidelines to the Board as it sets policies and makes decisions.

•         Assists the Board with enforcing the Covenants and By-Laws.

•         Coordinates with the Association's attorney regarding legal matters and collections of delinquent accounts.

•         Provide real estate closing information and Estoppels requests to title and closing attorneys.

•         Coordinates the attainment of property and liability insurance, Directors and Officers insurance and legally required policies for the Association. Handle all claims.

•         Sets up and maintains accounting systems.

•         Provide full accounting services including, but not limited to, A/P, A/R, bank reconciliations and preparation of income and balance sheets monthly.

•         Maintain separate ledgers for each homeowner.

•         Process vendor invoices and make payments.

•          Prepares annual tax return.

•         Process delinquent notices in accordance with the Association’s documents and/or rules and regulations.

•         Assists the Architectural Committee with scheduling repairs with vendors.

•         Perform a detailed inspection of the common areas and an overview of homeowners’ units (external) twice monthly. Identifies exposure of potential loss and risk hazards.

•         Prepare an annual budget in conjunction with the Board’s President and Treasurer.

•         Define and implement election procedures for all membership meetings in accordance with the covenants and laws of the state.
